OUR CANCELLATION POLICY

The policy below is represented in the consent documents that are a part of the enrollment process. Please read closely as you will be asked to sign off on these as a condition of engagement as a patient. 

 

If you cancel after 10a the day prior, or if you’re a no-show, you will be charged $60.

 

Most physician’s offices today schedule between 30-40 sessions per day. They do this expecting cancellations and no-shows. Not to mention that most of their appointments are only 15 minutes of actual time spent with you! Therefore disruptions caused by canceled and no-show appointments are absorbed by the patients who are asked to wait 20-60 minutes taking advantage of your valuable time.

 

At 360, we only schedule about 10 to 15 sessions per practitioner per day. Our Doctors or therapists devote a full 45 – 90 minutes to each of our patients (allowing a small break to write notes or review a record between sessions). We pride ourselves on respecting your valuable time, as we hope you do ours. 

 

When you cancel last minute or fail to show up for your appointment, we lose an hour that could have been filled by other existing patients or even new patients. We try very hard not to have anyone waiting for more than 5-6 minutes. So if you want the quality care we are known to provide, we must maximize our available time slots so we can give all our patients that 5-Star level of service our clients have come accustomed to.

 

Therefore, our cancellation policy is necessary:

    • First, you always have a right to cancel an appointment for any reason.
    • To avoid any cancellation fee, you must cancel online or notify us by text or VM by 10a of the business day prior (this implies Friday for Monday appointments). Federal holidays are not counted as a business day.
    • If you cancel after 10a the day prior to the appointment, or if you don’t show, you will be charged a $60 late cancellation or no-show fee, which is half our standard treatment fee.
    • Please Note, Insurance will not cover this charge.
    • We understand that unpreventable things happen that keep you from showing, and we will often grant exceptions to this policy under valid circumstances. Examples may include sicknesses, accidents, and family emergency matters.
    • Scheduling conflicts with work matters are not something we can except. We are all very busy, but our work obligations are just as important as your work obligations.
    • Simple forgetting does not garner an exemption either.
    • If you have a question about how our cancellation policy applies, please raise it with us at the point of canceling. Unless we hear from you, we will assume that the circumstances of your canceling do not rise to a level of exemption.

Again we understand things happen – life is very complicated these days, but our late cancellation and no-show policy are for mutual respect of each of our time and costs. Should it seem a bad fit with your expectations, we understand and will be glad to help you explore other options that would better fit your expectations.

INSURANCE COVERAGE

Unfortunately, Acupuncture and Natural Holistic practitioners like us are not always covered by traditional medical insurance. However, some insurances are starting to pay for Acupuncture and other alternative services, which if your insurance provider does we will look at bill for those services if the do not cut our rates to low. But some of other services we offer are definitely NOT covered by insurance. That being the case, our patients must be willing to invest in their long-term health care above and beyond what their insurance may cover.

We understand the financial challenge this may present to some of our patients and we understand it’s not easy. Unfortunately, right now Functional Healthcare & Preventative care are not supported by our (FRIENDLY) neighborhood health insurance providers. At the core we strongly belief that our decisions about your medical care should remain between you and your doctor, uninterrupted by third party interests (i.e., those of an insurance company).

When a medical practice bills an insurance company directly, the doctors are required to become participating providers and must sign a contract that allows the insurance company to determine, which services we can and cannot provide, how much time we can spend on your care and how much we can charge for those services. Health insurance companies/ Medicare only allow for a limited number and quantity of covered procedures and medical care. As you probably know, this does not include preventive or wellness services. They are heavily invested in a conventional western model that include prescription drugs and surgeries.

As holistic functional acupuncturists and practitioners, we believe and are committed to prevention, wellness and natural solutions to your health problems. Always, our goal is to address the underlying causes of your symptoms with specific nutritional, herbal and lifestyle recommendations and to apply therapies that are the most recent advances in scientific discovery with clinical evidence. We have found that he cannot rely on the insurance companies to offer you well-researched, individualized and transformational therapies designed to restore and protect ours or your long-term health.

FILING FOR INSURANCE BENEFITS

There is a 1-800 phone number on back of your insurance card. Please call your insurance company to find out if your plan includes acupuncture or natural healthcare benefits. As a courtesy to our patients, we will bill insurance directly if your policy includes Acupuncture and medical benefits. We are In Network as a Preferred Provider with some of the major insurance companies including the following insurance companies listed below. But all first time visits we will not bill insurance for because the pay way to little of our consultation fees:

 

However, if you have acupuncture benefits and your plan allows it, we can also bill some plans as an out-of-network provider. Your insurance company will provide you with the best information about your benefits.

If you call us we will help verify your benefits for you on all future appointments. However, please keep in mind that once we verify your benefits, we do not monitor your insurance benefits if they change! So please make sure you understand your policy and benefits we only help assist you. We do not employ a full-time person, which is unfortunately what it takes these days to figure out all there mobo-gumbo. So although we will help you where we can, you are ultimately responsible for your insurance company directly

FEDERAL & HEALTH SAVINGS ACCOUNTS

Another great alternative is to use your HSA (Health Savings Account) to pay for our services. Many employers now provide their employees with a Visa / Mastercard, HSA debit cards cover copays, and non-covered services and therapies. In addition, some people invest their own money into a private HSA for flexibility in their healthcare plans. So we gladly accept HSA cards.

Our services are also considered qualified medical care for Flexible Spending Accounts. So you are welcome to use your FSA checks or credit cards for any of our treatments. Other payment options, of course, always include Cash, Check, Visa, or MasterCard.
